How To Register/Use Our Online System, Who’s The Ref (WTR)
1. Register on Who’s The Ref. In order to use our online appointments system you’ll need to register with an email address and password. [NB: All club fixture secretaries, referee liaison officers/ team managers are already entered in our system and need only to set a password].
If you are logging in for the first time, follow this step-by-step guide. The guide also tells you how to reset your password, should you need to at any point.
2. Availability. Once logged in, referees and advisors of the Society can update their availability. Please do this regularly in order to maintain the smooth running of the Society’s operations. Here is a step-by-step guide to adding/changing your availability:
We ask that referees/advisors make their availability known 2 months in advance. You can always update your availability later, if you become unavailable, but this helps with our planning.
Note that if you enter AM/PM it means you are making yourself available for a morning game AND an afternoon game (2 games). If you need any help using the system or are unsure about anything, please contact our administrator Tracy Pettingale at admin@kentrefs.co.uk
3. Appointments. You will receive your appointments via email. Please accept or decline games using the link in the emails. This generates an email to the club involved, informing them of the referee for their game. The club concerned will call you to confirm the game prior to the fixture.
A Note To Clubs:
To ensure you receive notifications about the referees assigned to your games, please ensure you inform the Society of any changes of officers.
4. Cancellations. If your game is cancelled, please inform our appointments officer, via email: appointmentsteam@kentrefs.co.uk so that the club is not charged.
Cancellation Policy
Please note all clubs are required to confirm their game to the referee and any advisor appointed to the game at least 2 days before the fixture. Both must be contacted if the game is subsequently cancelled as well as emailing our appointments officer with details of the cancellation to ensure the club is not charged. Please give as much notice as possible so that the referee can be deployed elsewhere.
Any game called off the morning of the game, irrelevant of the referee travelling will be charged. If the away side are responsible for the cancellation, the home side will still be charged and will have to seek compensation from the opposition.
Exception: If the game is cancelled the morning of the game due to frozen pitches clubs must inform all concerned at least 3 hours before kick off. If cancelled less than 3 hours before kick off a charge will still be made.
